BOOKING, CONFIRMATION AND PAYMENT
We want you to enjoy every minute of the Kingham Cottage experience so have made the booking process as easy and hassle free as possible . . .
. You can book as far in advance as you like or as close, depending on availability.
. If you book more than 8 weeks in advance we ask for 50% of the cost of the stay as a non-refundable deposit, the remainder is due 8 weeks prior to the stay which is also non-refundable. We will remind you but if we do not receive the balance we will assume you no longer want the cottage and will cancel your reservation.
. If you are booking within 8weeks of your stay we will ask for 100% of the cost of the stay. This is non-refundable.
. By making a full or deposit payment you are accepting these terms and conditions.
. You can pay by cheque or bank transfer, no credit cards we want everyone to save on bank fees!
. All payments are to be made in pounds sterling.
. Overseas payments should be made so the exact amount to cover the cost of your stay arrives with Kingham Cottage as well as all sender’s and recipient’s bank charges. Any costs incurred by Kingham Cottage will be passed to you.
. Once we have received your payment in cleared funds we will then send you confirmation of your reservation and ask that you inform us (within one week) if any details are incorrect.
. Please ensure the are sufficient funds in your account as we will need to pass on to you any bank charges for refused payments.
CHANGING OR CANCELLING YOUR STAY
If unfortunately you need to change or cancel your reservation.
. Please let us know as soon as possible.
. This can be done by post, phone or email.
. If using post or email and you don’t hear from us within 3 days please get in touch incase we are having technical difficulties.
. If we receive your request to cancel more than 8 weeks prior to your arrival date then your deposit is non-refundable.
. For cancellations received after the balance is due and/ or within 8 weeks of your arrival date then you are liable for the full cost of your booking and the full cost is non-refundable.
. If we are unable to re-sell any part of your cancelled booking then all monies paid are non-refundable.
If we do re-book the cottage for the whole or part of your intended stay we will refund the relevant proportion of your payment less am administration fee of £40.
. If you need to change the date of your stay we will be as flexible as possible to help you, dates can be changed up to 8 weeks before your stay for a charge of £40 and subject to availability. Within 8 weeks of your stay, this will be treated as a cancellation (see above).
You are strongly recommended to take out holiday insurance, personal liability, personal accident and medical expense insurance to cover such eventualities including cancellation of your holiday.
Once your reservation is confirmed we will make every to provide you with the cottage experience you have booked.
However in circumstances out of our control occur (Force Majeure, which includes such instances as natural disasters causing fire or flooding) we may have to offer an alternative property or date or cancel completely.
DURING YOUR STAY
We love our cottages and their location so please bear this in mind.
. Accidents do happen but please take care of the cottage and its contents and leave it as you found it.
If anything is damaged or broken, lets us know so that we can repair it for the next guest.
. We do not take a formal security deposit but do reserve the right to charge you for additional costs incurred due to repair, replacement or loss as a result of damage caused during your stay.
. These costs can include but are not limited to; costs for excessive cleaning required if the property is not left as you found it, costs for repair or replacement due to damage caused, costs for what is considered by the owners as unreasonable use of utilities such as electricity based on their experience of previous seasons.
. By making a full or deposit payment you are accepting these terms and conditions and therefore you are agreeing to pay for such repair, replacement or loss as a result of damage caused by you or member of your party. Costs will be billed to you by After Umbrage after your stay and will need to be paid within seven days of receipt.
. Each cottage is arranged for a particular number of people to enjoy and this must not be exceeded as it deters from the experience for everyone.
. To allow us to prepare the cottage you should arrive after 4pm and leave by 10.30 am on day of departure unless otherwise agreed with us.
. All our properties are nonsmoking areas.
. Please consider others during your stay; neighbors, the owners and the next guests.
. To allow us to provide you with a great stay, the Property owner or representative will need access to the property during your stay.
. If the worst happen and you are asked to leave or worse you decide you do not want to stay the length of your reservation, this will be treated as a cancellation and we therefore will not be able to compensate or refund you in any way.
. As well as the cottage property please take care of your own belongings during your stay. Guest’s personal items and vehicles, together with their contents, are left at the Property entirely at your own risk.
AFTER UMBRAGE COTTAGE’S RESPONSIBILITIES.
In what we hope is the very unlikely event that you are unhappy with any aspect of your stay, you should contact us as soon as possible (within 7 days of the end of your stay) with full details of the problem.
Please be aware that the Property Owner is not responsible for any aspect of your holiday other than the accommodation and not for any other aspect of your holiday booked through third parties.
Please not that if you are subject to inconvenience out of our control such as adverse weather conditions , incidents or unforeseen local works, it is with regret we cannot accept responsibility for such unforeseen and unavoidable situations.
Please tell us, before booking, if you or any of your party has a disability that means features such as steps, smaller bathrooms or doorways that may cause access or mobility issues so we can advise you on the suitability of the property to prevent any disappointment on arrival.
To make things easy unless we have a special offer, our prices stay the same through out the year.
. Please pay in pounds sterling.
. Mistakes do happen and we reserve the right to correct errors in advertisements and/or confirmed prices.
INFORMATION AND COMMUNICATION.
. For the purpose of the Data Protection Act 1998, all personal and other information and details collected by us in the course of our business, belonging to us and will not be disclosed to any third party except to the Property Owner (and /or representatives) in connection with a reservation.
. Provided you have not indicated otherwise, we may use your personal information for marketing our services. We will in any event never transfer your details to any other third party.
. If you want to be removed from our marketing lists at any time in the future , please contact us.
This contract will be governed by English Law and subject to the exclusive jurisdiction of the English courts.
